The Role
The Client Experience Coordinator is the connective tissue between our clients and our crews. You are the first voice people hear, the person who keeps the schedule moving, and the one who makes sure nothing falls through the cracks. This is an in-person role with flexible hybrid options available after an established ramp period.
We are looking for someone who takes genuine pride in client communication, stays organized under pressure, and can pivot quickly without losing accuracy. Green industry or sustainability experience is a plus, but a sharp, service-oriented professional who learns quickly and cares about quality is exactly who we want.
Key Responsibilities
Client-Facing
• Serve as the primary point of contact for inbound calls and emails from clients across our Chicago and Milwaukee service areas
• Process client intake, perform initial data entry, and schedule consultations and service visits
• Clearly explain scheduling, permitting, billing, and treatment processes in a way that builds trust and reduces friction
• Assist clients with payment processing and handle billing-related questions with professionalism
• Route inquiries about treatments or pricing accurately, taking detailed notes and following up promptly
Operations & Administrative Support
• Complete daily time entry for field crews with accuracy and timeliness
• Create and maintain property and contact records in the CRM system
• Learn permitting requirements across Chicagoland and Milwaukee to support clients and field teams
• Provide minor CRM troubleshooting support to the Sales Team; escalate issues appropriately
• Meet regularly with territory sales partners to align workflow and communication
• Execute administrative tasks and special projects as assigned by management
Qualifications
• 3+ years of administrative or customer service experience in a fast-paced environment
• Excellent verbal and written communication skills with a professional, warm tone
• Strong organizational skills and the ability to manage multiple priorities without losing detail
• Proficiency in Microsoft Word, Excel, and Outlook
• Experience using CRM software; Aspire or similar landscape management software is a strong plus
• Self-starter who can work independently while staying tightly connected to the team
• High level of integrity and accountability in day-to-day work
Bonus skills that will set you apart: bilingual in English and Spanish, green industry or sustainability background, experience with Aspire, or familiarity with Zendesk or similar ticketing tools.
Compensation & Benefits
• $56,000 - $61,000 per year based on experience
